A day in WiseHQ: at 7:42 AM someone scans a room QR code and reports an issue with no login. At 7:43 AM a work order is created and routed to the right team. At 9:15 AM WiseHQ AI answers a maintenance question, citing the equipment manual. At 10:30 AM preventive maintenance is scheduled. At 2:06 PM the work order is closed with photo verification and the asset's service history is updated. Timestamps are illustrative: 7:42 AM, 7:43 AM, 9:15 AM, 10:30 AM, 2:06 PM.

Tenants churn over silence, not breakdowns

The building rarely loses a lease because something broke. It loses one because nobody could say what happened next.

  • Requests vanish into a voicemail black hole. A tenant who hears nothing for 24–48 hours escalates — and unresolved requests come up at every renewal conversation.

  • Comfort calls dominate the queue. Too hot, too cold, again — and in peak season the response stretches to days while the complaints pile up suite by suite.

  • COI tracking fails exactly when it matters. The certificate chase breaks down at renewal, and an expired COI plus one incident equals uninsured liability.

  • Lease obligations are buried in PDFs. Who maintains what, required service frequencies, option dates — locked in documents nobody re-reads until a dispute.

WiseHQ AI

Ask your lease a question. Get a cited answer.

Upload your leases, service contracts, and insurance policies once. When a tenant claims the rooftop unit is your problem, you get the clause — not a two-hour PDF hunt.
  • Answers landlord-vs-tenant responsibility from the signed lease
  • Every answer cites the document and page it came from
  • Reads insurance policies, warranties, and vendor contracts too

WiseHQ AI

Landlord — Section 11.3 assigns base-building HVAC to the landlord; the tenant covers supplemental units they install.

Tenant requests

A QR code in every suite — no tenant portal to roll out

Any tenant employee scans the code on the wall, taps a symptom, and sends. The request routes to the right team with a visible trail, so the 48-hour silence that loses tenants never starts.
  • No tenant onboarding, logins, or per-seat math
  • Tap-to-add symptoms write the description automatically
  • Duplicate reports from three suites merge into one work order

Vendors & COIs

Your vendor bench, with the insurance paperwork attached

Every contractor lives in one directory — service history, community ratings, and insurance status beside the phone number. Need a new roofer? The AI vendor finder pulls candidates with Google ratings built in.
  • Track each vendor's certificate of insurance and its expiration
  • Community ratings from other WiseHQ facility teams
  • Scan a business card and the vendor files itself

Common questions

What property managers ask us

Straight answers — we're in private beta and would rather under-promise.

Do our tenants need accounts, an app, or any onboarding?
No. You put a QR code in each suite and common area; anyone who spots a problem scans it, taps a symptom, and sends. No logins, no tenant portal rollout, no per-seat charges. For restricted areas you can require an access code on the QR.
How is it priced — per building, per unit, or per user?
None of those. WiseHQ is a flat monthly price with unlimited users — every engineer, manager, and vendor contact you want to invite. Commercial tiers are being finalized during the beta, and beta members get 20% off for their first 6 months. See pricing.
Can we show owners responsiveness and maintenance history at renewal?
Yes — that's the point of the trail. Every request is time-stamped from report to close, every asset carries its service history and photos, and the capital plan exports as a board-ready PDF per building. Quarterly owner reporting stops being a records scramble.
Who sees what? We don't want tenants browsing internal data.
Tenants only ever submit reports through the QR flow — they never get access to your workspace. Inside your team, per-user permissions and departments control exactly who sees and edits what, down to individual overrides.
We manage several buildings. Does that work in one account?
Yes. Buildings, floors, and suites are first-class in WiseHQ — floor plans, QR codes, assets, work orders, and the capital forecast all organize per building, so a small portfolio lives cleanly in one place.
We have years of records in spreadsheets. Do we start from zero?
You add buildings, suites, assets, and vendors directly in WiseHQ — the floor plan designer makes the spatial part fast, and scanning a vendor's business card files them automatically. During the beta we work with you on setup so day one isn't a data-entry marathon.
Does it work for an engineer who lives in the field?
WiseHQ is phone-first: the mobile app handles scanning QR codes, photographing work, clocking in and out, and push notifications when a request lands or gets reassigned.
